Okay, guys, I’m going to keep it real with you today.  This is a topic I’ve been wanting to cover for a loooong time: What exactly does a “day of” coordinator do and why do they cost more than you expected?

First of all, let’s ditch the label “day of wedding coordinator” and replace it with “wedding manager.”  As a professional wedding coordinator, I would never show up on the wedding day without hours of prep work beforehand.  Just like the execution of any major project, a true professional is going to make sure that all of the details are in place to ensure for a smooth wedding day.  We typically start with our clients approximately 10 weeks before the wedding date to review their wedding day details (as well as make sure they aren’t missing anything!) At this time, we also spend time creating the weekend itinerary.  This meeting is also meant to assist the client with anything that is outstanding such as how to create a ceremony processional or figuring out transportation for their guests.  Once we gather all of the details of the wedding, we touch base with the vendor team to make sure everyone is on the same page.  We review the timeline, venue loading instructions as well as logistics with each vendor to ensure for a smooth and stress-free wedding day!

One word: experience.  I’ve worked A LOT of weddings and have seen it all.  Because of this, my team and I are experienced in troubleshooting anything that may arise while staying calm and cool.  Our main goal is for the client to never know of any hiccups.  We worked a wedding recently where the florist forgot one of the bouquets.  We pulled buds from the other bouquets, wrapped it and voila!  And guess what?  The client never knew!

In order to execute a wedding successfully, staff is essential.  On any given wedding day we have anywhere from 3-6 staff members who are in the background making sure your day is executed to perfection.  No detail is too small or tedious for our group of experts to handle.  We love going above and beyond – whether it’s running to Jimmy John’s during the ceremony to pick up sandwiches for the bridal party or searching for the bride’s deep merlot lipstick because she misplaced it and then tracking down her down to make sure she has it for photos – we are always willing to go the extra mile.
